QuickBooks Pro Size Limitations
Lists Size Limitation:
Each type of list (with the exception of entities - they being customers, vendors, employees, othernames; and items) has its own maximum. Here is a complete list for 2005 Pro/Premiere (taken from their white papers):
From within QB hit Ctrl +1 and that will bring a screen that shows, among other things, list numbers.
Entities (customers, vendors, employees, other names - in aggregate): 14500
Accounts: 10000
Items (All types in aggregate): 14500
Classes: 10000
Customer types: 10000
Vendor Types: 10000
Terms: 10000
Memos: 10000
Memorized Transactions: 14500
To Dos: 10000
Memorized Reports: 14500
Sales Reps: 14500
Price levels: 20
Sales Tax Codes: 10000
Payroll Items: 10000
Job Types: 10000
The only lists that get doubled in Enterprise are: Entities, Items, Memorized Transactions, Memorized Reports, Sales Reps (29,500 for each).
All other Enterprise lists are the same as Pro/Premiere (2005)
Enterprise advantages are speed, licensing, additional features.
File Size Limitation:
There is a physical limitation for file size of 2 GigaBytes (which Windows lists as 2,000,000 KB (KB=KiloBytes))
To reduce file size to minimum:
Make a copy of the original company file the use the option in the condense process to delete out list names you no longer need. Then start new company file:
setup a new file, transfer all lists, setup closing trial balance with outstanding items for bank, a/r & a/p. It works fine except you will loose the historical data (you will have the archive file to find old info if needed).
